Simple Steps to Automate your Marketing – Part 2

In this article, I will discuss the engine which powers (or supplies power) to your Content Management System with the right server, operating system, services (email, ftp) and database connectivity.

While you can purchase a server, install the Operating System (Windows Server, Linux, or Mac OSX Server – Snow Leopard) and setup the services, pay for the Internet connectivity (and worry about the Internet connectivity redundancy) and electricity I wouldn’t suggest doing this.

In today’s economy, the benefit of hosting your own server (with the included headaches) is not a fiscally good idea.  If you need more capabilities than you get with shared hosting and are considering a virtualized server option, you might consider looking into the Mac-Mini as a server.

However; hosting yourself is a bigger discussion for another time.  Today, we are discussing automating your marketing and sales and  procuring hosting for your website using a third party.

In our last post, I discussed using WordPress as the CMS of choice to move your company along when creating an artificially intelligent website.  Although WordPress is free (meaning, no license costs), you still have to make sure that it is installed properly.  If you do a little research before you pick out your hosting provider, you should be able to install and setup WordPress using provided scripts which could have you running WordPress in a matter of a few minutes with all of your hair intact.

WordPress requires PHP (a web scripting language) and MySQL (a database server solution) to be installed and running in order to operate.  The right hosting provider (frankly, if they do not have this capability they are not a ‘right’ hosting provider) will have these abilities already installed and running for you.

I recommend HostGator (www.HostGator.com) or BlueHost (www.BlueHost.com) for hosting needs.  While I personally supply hosting for my students, I will often have my larger clients procure their own business account with HostGator directly.  If necessary, I call HostGator on behalf of my clients to solve technical issues.

With this setup, you will have your email services, web servers, ftp services and significant options available to load other software (such as vTiger for Sales CRM) for the same monthly fee.

When you add their excellent customer support (based here in the USA), HostGator has proven to be a dependable partner for web and email hosting.

One word of warning.  I do not recommend using the same company to host your website and be the registrar for the company domain name.  The reason for this is if you choose to move your hosting, or have an issue with the hosting for any reason, you can easily use the Registrar to point to a new web hosting company be be back online quickly and easily.  This way, no one hosting company (no matter how good they are) will ever be able to limit your options and take your website out of business.

The Other Social

Ok, by now you should have heard of Twitter.  If you have not, you can click the link to see the site, or Google and read for hours!  Effectively, Twitter and Facebook are the main websites people talk about when they say ‘Social’, however; there are literally hundreds of other social sites which have devoted users and your job should be to interact with them without overwhelming yourself.

When you have customers / clients which come to your website and read your content, you really want them to share it!

One of the most powerful ways to sell is word of mouth from someone you trust.  Fortunately, it is not hard to add this feature to your website.

One of the plugins you can use is Social Bookmarks.  Please click the link to read all about the features and the author of this excellent plugin.

These are only the default choices, there are many, many more available.

When you add this feature to your website, you give the reader a quick and easy way to promote your content, and your business, to others.

After all, don’t we want to make it easy to share information about you?

How RSS helps you build Susie

RSS is Really Simple Syndication.  Effectively, it is a way to publish your content to be consumed by other vehicles (such as RSS readers, or services which use your RSS feed).

Why should you care?  Well, because with the power of RSS and MailChimp, you can pretty much automate your email list administration and delivery!

One of the vehicles which drove marketing in the last 10 years is email distribution.

One of the biggest problems with the Internet these days is a glut of email.

However; just like direct mail, there will always be those who prefer this marketing vehicle to receive your information.  It does not take much to automate this process (nor much money) and the value of a qualified email list is almost equivalent to money in the bank.

Check out MailChimp, you will find one of their services will pull a RSS feed from your website and aggregate the information into an email and send it to your list.

So, if you stay the course by publishing 2 to 3 times a week you can effectively “email” this content to your list once a week automatically.  You don’t have to setup new software, you don’t have to dream up new content.

The cost?  You can try it out Free for less than 500 names (and they will put a MailChimp plug (not horrible) in the bottom of the email).  For less than 2,500 names you will be charged $30.00 a month.  See the website for other rates.

One nice feature is that you pay by the names, not the quantity of emails.  So if you have 2,000 names and you mail 4 times a month you are still only charged $30.00.

Protect your content from devastation, easily!

Okay, everyone should know that websites which are useful for sales take content.  Sometimes, lots of content.

In a Content Management System, this content (not including images, pdf’s, video’s etc.) all reside in your database.

Now, for most of my clients, the database isn’t that big.  However; remembering to backup the database is a complete pain since we have SO much more going on in our businesses.

So… let Susie do it.

How we add this functionality to Susie is pretty straightforward. (See other Posts which talk about Susie).

You will go into the Plugins area of your WordPress Dashboard and click the “Add New” option.  Search for the plugin “Wp-DB-Backup” and locate the plugin released by Austin Matzko (version 2.2.2 as of this time).  On the right hand side of the page is the option to Install, click the link.

Follow the instructions until the Plugin has been installed.

Once this is completed, you will have a new menu choice under “Tools > Backup”.  When you select this, you will get the setup page which allows you to manually create a backup any time you wish.

However; that isn’t the point of Susie, now is it?

Scroll down a little on the page and you will find the automatic features of the plugin.  Select the tables you wish to backup (if you have loaded extra tables) and the backup frequency (hourly, 2x daily, daily etc) and fill in your email address.

Now, if you are concerned about email issues, I suggest setting up a separate Admin email address (at Google if you like) which you will forward your emails to so that they do not hog up your work email.  Why not send them straight?  You can, just make sure you remember to check the email location from time to time to make sure it is still working.  If you send it to your work address, you always see the file and can delete old ones, or forward the email manually which would be Susie’s way of telling you the work was completed!

Hopefully, you will take the few minutes necessary to set this up.  If you have a complete fubar by installing code (or a bad situation with your hosting provider), you know you have all of your precious sales (and comments) content safe and sound.

You still have to “upgrade” Susie sometimes

Okay, Susie can’t do everything for you, you will be required to manage her upon occasions and here is one such occasion.

If you are not aware, ‘Susie’ is what we call our Artificial Sales Person who manages some of our web efforts for us.

Effectively, ‘she’ receives your post, and will display it on the website according to your schedule.  Also, Susie automatically rebuilds your Sitemap.xml, will notify Google, Bing and Yahoo (through Bing) that you have new content and make sure the search engines are able to see all of the relevant pages on your website.  Will handle backing up your Content Management Database (and email you the file) and also help pull together an email newsletter setup (when connected with Chimpmail).

However, she is not omnipotent.  When some of the supporting functionality you install (plug-in’s in this example) have updates, you will need to update them manually.

It is not a big effort, usually it takes less than 1 minute to update a plugin and we can ALL be thankful when an author updates their code. (This is another excellent reason to support authors).

I suggest you schedule 10 minutes maybe once a week to login to the authoring side of your website and take a look to see if any Plugins need updates.  If you have some which need updates, you will see the quantity next to the Menu selection (see example above).

Simply click on Plugins menu selection and locate the Plugin which has a message under the name notifying you of an update.  It will often start with “There is a new version of (insert Plugin name here) Version X.XX details here or Upgrade Automatically”.  If you are backed up, you can simply click the “Upgrade Automatically” option and in about 30 seconds, your plugin has been upgraded to the latest version!

If you have the automatic database backup working, it often takes you minutes to help Susie be on the latest upgrade and you are off to the next task in your day!

Now that I have shown you what to look for, I am off to upgrade my Plugin! (Which, in my case, is Contact Form 7).

Susie does the talking with Google, Bing and Yahoo… For Us!

Okay, so you have new content (Post) uploaded to your website.  While you can wait for Google and Bing (which, by the way, also drives Yahoo now) to come by and index your site again, you could also tap them on the shoulder and let them know you have something fresh!

Why do this?  Well, the search engines appreciate that you have fresh content, in fact you will get lower scores (index scores) if you do not have new content on your websites.

Now, we have two issues.  The first is that we need to tell them (ping them) we have new content.

So, How do we ‘make’ our Susie?

I am presently in a clients office waiting on him to get here. I realize that it is not the best situation, I have plenty of other tasks.

Well, I am typing this post on my smart-phone (iPhone for me) and I am going to send the post and load it to my website.

All websites are built with something, after using everything from HTML, .asp, .aspx, DotNetNuke and Joomla, I have been most impressed with WordPress.

Why?

Ease of install, ease of use, literally over a million websites (well tested), updated constantly, great 3rd party support, wonderful templating system, great search engine integration options and RSS and ATOM protocol features.  Basically, everything I need to create an automated website with conversation (social) opportunities already built in.

So, exactly the foundation and support we need to give our companies the tools to move ahead with web marketing and web sales efforts, while enhancing our ability to do this on our own terms.  For instance, from my phone!

With that thought, I am going to close this post and allow our ‘Susie’ to go tell Google and Bing about my new content, and update my Twitter feed.

Susie’s Job Description

If you read my last post, I talked about how a client’s website handles much of his sales and marketing functions for the website.  Here is an example of what a job listing for ‘her’ position would look like:

Want To Hire for Marketing and Sales group:

Looking to hire person responsible to handle sales and marketing functions related to Social and Email marketing, Search Engine Optimization, Web Marketing backups and other website support functions.

Must keep Twitter and Facebook updated.

Must keep Google and Bing (Yahoo) updated.

Must know how to create and keep up-to-date the Sitemap.xml file, and create a Sitemap page for better indexing.

Must create cross-links within the website in order to help potential clients find relevant information inside the content.

Must remember to backup the website database nightly and send offsite (if appropriate).

Needs to bring together all of the new posts content weekly into a email newsletter and send it out to the newsletter list.

Needs to report back on the results (how the website is doing).

Hobbypreneurs need Susie

Two out of the top 10 articles this week on Fox News website is on hobbypreneurs. Turning your hobby into a business.

Typically, one of the areas these new entrpreneurs have to create for their businesses are a compelling website, content, and marketing.

I believe that there are many things a new business person needs to handle, these items mentioned are just one of hundreds!

That is why I feel that with their own Susie, hobbypreneurs can get so much more done, and enjoy the process.

I started this post at the car wash a little while ago.  I was reading on my iPhone and came across the mention of hobbypreneurs and thought ‘huh, these guys are in for a small struggle, they could use Susie, too.’

So when I post this article, what my Susie going to do for me?  Well, she is going to post the comment to Twitter and Facebook.  She is going to create a Sitemap.xml page on my website and update Google and Bing (Yahoo) which control 85% of the Search market about the new content on the website.

She is also going to automatically save a copy of my database tonight and email it to me, so that I don’t loose any of these posts.

Actually, that isn’t all she is going to do, it is just the top-line!

Hire Your Website

I believe that so many people in business, in marketing, and in sales fail to value the website as what it should be.

An employee of the company.

Firmly in the Marketing and Sales group, with technical skills, and has to answer to the CFO of the company.

Why would I say that?  Because at the core, your website is there to make you money.  No different than any employee who is hired.

They need to have responsibilities, they need to produce results, they need to belong to groups and they should make others’ job easier, not create more work in the company requiring more employees or more load on existing employees.

Over the next several posts, I am going to explain what my employee, whom I shall name Susie, does for my one of my clients.   How she keeps up with Twitter, talks to Google, creates email newsletters, reports on her results and backs up all of her work offsite while he sleeps.

She works 24 hours a day, does her job on his schedule, remembers her tasks and never takes vacations.

The Technology Should Disappear

Your website is just a tool with one purpose, increase income.

Many people talk about new ideas, new paradigms, new technologies which are going to turn everything upside down.

Maybe.

However, what if the “upside down” causes you to fall?
